TERMS & CONDITIONS OF SERVICES & ACTIVITIES

1. INTRODUCTION

These Terms & Conditions of Services & Activities (“Service Terms”) govern all programmes, activities, camps, registrations, memberships, charitable initiatives, document assistance services, awareness campaigns, volunteer programmes, healthcare support, educational assistance, and future welfare activities conducted by People Helping Hands Foundation (“PHHF”, “Foundation”, “We”, “Us”, or “Our”).

These Service Terms shall be read together with the Foundation’s Terms & Conditions, Privacy Policy, Donation Policy, and any other policies published by the Foundation.

Participation in any Foundation programme constitutes your acceptance of these Service Terms.


2. GENERAL CONDITIONS APPLICABLE TO ALL SERVICES

Unless otherwise specifically stated, the following conditions apply to every activity, programme, camp, registration, or service conducted by the Foundation.

  1. Participation in any programme is completely voluntary.
  2. Registration does not guarantee approval, assistance, discounts, financial support, or eligibility for any benefit.
  3. Every application is subject to verification by the Foundation.
  4. Benefits may vary depending on eligibility, availability of funds, programme objectives, partner organizations, and administrative approval.
  5. The Foundation reserves the right to approve, reject, suspend, or discontinue any application without assigning reasons where permitted by law.
  6. The Foundation may request additional documents whenever necessary.
  7. Submission of incomplete, misleading, forged, or false information may result in immediate cancellation.
  8. The Foundation reserves the right to verify information with government authorities, institutions, hospitals, schools, employers, or other relevant organizations where legally permitted.
  9. Programme availability may differ from city to city.
  10. Services are provided on a best-effort basis and subject to operational feasibility.

3. DOCUMENT ASSISTANCE & DIGITAL SERVICES

The Foundation may organize document assistance programmes to guide citizens in obtaining or updating government documents and welfare registrations.

Such services may include assistance relating to identity documents, social welfare schemes, certificates, registrations, digital services, and similar public-benefit programmes.

The Foundation acts only as a facilitator or guidance provider and is not the issuing authority.

Accordingly:

  1. Government approval is not guaranteed.
  2. Processing timelines depend entirely upon the concerned government department.
  3. Government fees, statutory charges, and applicable taxes shall be borne by the applicant unless specifically stated otherwise.
  4. Operator or service charges, if any, shall be communicated separately before processing.
  5. Incorrect or incomplete documents may result in rejection by the issuing authority.
  6. The Foundation is not responsible for delays caused by government systems, technical issues, policy changes, or document verification.
  7. Applicants are solely responsible for the authenticity of documents submitted.
  8. Submission of forged or manipulated documents may result in cancellation of services and reporting to competent authorities.

4. AWARENESS CAMPS

The Foundation regularly organizes public awareness programmes relating to health, education, government schemes, legal awareness, digital literacy, document guidance, women empowerment, youth welfare, senior citizen welfare, environmental protection, and other social causes.

Participation in awareness camps:

  • is voluntary;
  • does not create any contractual entitlement to benefits;
  • does not guarantee government approval or financial assistance;
  • may require identity verification;
  • may be limited due to venue capacity or operational constraints.

Camp schedules, locations, speakers, or services may be changed, postponed, or cancelled without prior notice due to unforeseen circumstances.


5. REGISTRATION SERVICES

The Foundation may provide registration facilities for participation in charitable programmes, camps, volunteer initiatives, memberships, awareness campaigns, and welfare activities.

Registration:

  • is subject to verification;
  • may require supporting documents;
  • may involve administrative or operational charges where applicable;
  • may be cancelled if false information is provided.

The Foundation reserves the right to reject registrations that do not satisfy programme eligibility requirements.


6. EDU HEALTH CARD PROGRAMME

Programme History

The Edu Health Card Programme was introduced by People Helping Hands Foundation on 01 October 2023 as a charitable welfare initiative designed to assist eligible individuals and families through educational guidance, healthcare support, awareness, and partner-based concessions where available. The registration fee for the Edu Health Card was fixed at INR ₹30 (Indian Rupees Thirty Only) per card, collected solely as a nominal administrative and card processing fee and not as payment for medical treatment, insurance, guaranteed discounts, financial assistance, or any assured benefit.

The programme operated solely as a charitable activity and did not constitute an insurance policy, investment product, medical guarantee, or legally enforceable entitlement to benefits.

Due to insufficient operational funding and financial constraints, the Foundation officially closed the Edu Health Card Programme on 15 August 2024.

From that date onward:

  • The Foundation reserves the right to archive programme records for administrative, audit, or legal purposes.
  • No new registrations are accepted.
  • No renewals are available.
  • All programme benefits have ceased.

Expired cards shall not be used for claiming any benefit.


7. EDU HEALTH CARD – TERMS & CONDITIONS

The following conditions governed the Edu Health Card Programme during its period of operation and continue to apply to any remaining records or cards issued under the programme:

  1. The Edu Health Card remained the exclusive property of People Helping Hands Foundation.
  2. The card was issued solely for the registered cardholder and was non-transferable.
  3. The card could not be sold, assigned, lent, copied, or transferred to any other person.
  4. Benefits, if available, became applicable only after 60 days from the original registration date, subject to successful verification and programme rules.
  5. Registration did not guarantee medical assistance, educational assistance, financial aid, discounts, or any specific benefit.
  6. Assistance was provided only after verification of the cardholder’s eligibility and subject to the availability of funds, partner support, and programme resources.
  7. Medical assistance, educational support, discounts, or referrals were provided entirely at the discretion of the Foundation and participating partners.
  8. The Foundation reserved the right to modify, suspend, or withdraw any benefit without prior notice.
  9. Cardholders were advised to contact the Foundation before approaching any partner organization for discounts or assistance.
  10. Any overwriting, tampering, alteration, mutilation, photocopying, or unauthorized modification of the card rendered it immediately invalid.
  11. Cards found to be forged, duplicated, or fraudulently altered were liable to immediate cancellation.
  12. Lost or stolen cards were required to be reported promptly to the nearest police station and to the Foundation office.
  13. Upon expiry or termination of the programme, the cardholder was expected to return the card to the Foundation or destroy it securely to prevent misuse.
  14. The Foundation reserved the right to recover any issued card whenever considered necessary.
  15. The Foundation could verify the identity of the cardholder at any time.
  16. Benefits were always subject to verification, eligibility, availability of funds, operational feasibility, and partner participation.
  17. The Foundation was not responsible if a partner organization discontinued its participation or modified its own terms.
  18. The Foundation did not guarantee treatment, admission, employment, scholarship, reimbursement, insurance coverage, or financial assistance under this programme.

8. MISUSE OF THE EDU HEALTH CARD

The Edu Health Card Programme has been permanently closed since 15 August 2024.

Accordingly:

  1. Any person using, displaying, reproducing, photocopying, forging, altering, selling, lending, transferring, or presenting an Edu Health Card after the official closure date does so entirely at their own risk.
  2. Any misuse of an expired, cancelled, or unauthorized card shall be the sole responsibility of the individual involved.
  3. The Foundation accepts no liability for any representation made by a person claiming benefits after programme closure.
  4. The Foundation reserves the right to reject any card presented after closure, regardless of its physical condition.
  5. Any fraudulent or deceptive use of the card may result in legal action, recovery proceedings, blacklisting from future Foundation programmes, and reporting to appropriate authorities where required by law.
  6. The Foundation shall not be liable for any loss, damage, expense, or dispute arising from the use of a discontinued Edu Health Card after 15 August 2024.
  7. Any volunteer, organiser, coordinator, field staff member, or any person acting in the name of People Helping Hands Foundation who collects, demands, or receives more than INR ₹30 for the Edu Health Card registration without written authorization from the Foundation shall be solely responsible for such actions. The Foundation shall not be liable for any excess amount collected beyond the officially approved registration fee of INR ₹30, and affected individuals are encouraged to report such incidents to the Foundation immediately.

9. FUTURE ACTIVITIES

People Helping Hands Foundation continuously develops new charitable initiatives based on public needs, available resources, volunteer participation, government regulations, and financial sustainability.

Accordingly, the Foundation may introduce, modify, suspend, merge, replace, rename, expand, reduce, or permanently discontinue any programme, activity, welfare scheme, awareness campaign, membership, service, or charitable initiative at any time without prior notice.

Participation in one programme does not create any permanent or future right to participate in another programme.

No participant shall claim any vested right, compensation, or continuation of benefits solely because a previous programme was conducted by the Foundation.

10. MEDICAL ASSISTANCE PROGRAMME

The Foundation may provide medical assistance, health awareness, medical camps, referrals, or financial support for eligible individuals, subject to the availability of funds and programme objectives.

  1. Medical assistance is not guaranteed and is provided solely at the discretion of the Foundation.
  2. Applicants may be required to submit valid identity proof, medical records, prescriptions, diagnostic reports, income proof, and any other supporting documents requested by the Foundation.
  3. The Foundation may verify all submitted information with hospitals, clinics, healthcare providers, or other relevant authorities where legally permitted.
  4. Approval of assistance depends on verification, urgency of the case, available funds, and approval by the Foundation.
  5. The Foundation is not a hospital, clinic, insurance provider, or healthcare institution and does not provide medical treatment or medical advice.
  6. The Foundation is not responsible for the quality of treatment, diagnosis, surgery, medicines, or services provided by any hospital, doctor, or healthcare provider.
  7. Medical assistance may be partially approved, fully approved, deferred, or declined without assigning reasons where permitted by law.

11. EDUCATIONAL ASSISTANCE PROGRAMME

The Foundation may provide educational guidance, fee assistance, scholarships, school supplies, books, uniforms, career guidance, digital learning support, or other educational welfare activities.

  1. Educational assistance is subject to verification and availability of funds.
  2. Submission of an application does not guarantee approval.
  3. Applicants may be required to provide educational records, admission letters, fee receipts, identity documents, and income proof.
  4. Assistance may be limited based on programme budgets, eligibility criteria, and available resources.
  5. The Foundation reserves the right to prioritize applicants based on financial need, merit, urgency, and programme objectives.
  6. Educational institutions remain solely responsible for admissions, examinations, certifications, and academic decisions.

12. FOOD DISTRIBUTION PROGRAMME

The Foundation may organize food distribution drives, ration kit distribution, cooked meal programmes, emergency food relief, nutrition support, and humanitarian feeding initiatives for economically weaker sections, disaster-affected communities, senior citizens, persons with disabilities, children, and other eligible beneficiaries.

  1. Food distribution is a charitable welfare activity and is entirely subject to the availability of donations, food supplies, volunteers, logistics, and operational resources.
  2. Distribution shall be conducted on a first-come, first-served basis unless the Foundation adopts a priority system for vulnerable beneficiaries.
  3. Registration or attendance at a distribution camp does not guarantee receipt of food or ration kits.
  4. Beneficiaries may be required to provide valid identity proof or other documents for verification where necessary.
  5. The Foundation reserves the right to determine eligibility, quantity, type, and frequency of food assistance based on programme objectives and available resources.
  6. Food items may vary depending on donations, market availability, nutritional requirements, seasonal conditions, and emergency situations.
  7. Beneficiaries are requested to inspect food items at the time of distribution and report any concerns immediately. Once accepted and taken away from the distribution point, the Foundation shall not be responsible for storage conditions, spoilage, misuse, or contamination caused after delivery.
  8. Food items distributed under the programme are strictly for personal or family consumption and shall not be resold, exchanged, or used for commercial purposes.
  9. Any attempt to obtain multiple distributions by using false identities, duplicate registrations, forged documents, or other fraudulent means may result in cancellation of eligibility and legal action where appropriate.
  10. The Foundation reserves the right to postpone, relocate, modify, or cancel any food distribution activity due to weather conditions, public safety concerns, insufficient supplies, government directions, or other circumstances beyond its reasonable control.
  11. Volunteers and beneficiaries are expected to maintain discipline, follow instructions issued by Foundation representatives, and treat all participants with dignity and respect.
  12. The Foundation shall not be liable for delays or interruptions arising from circumstances beyond its reasonable control, including transportation issues, supplier delays, natural disasters, public emergencies, or regulatory restrictions.

13. DONATION-BASED ACTIVITIES

All charitable programmes operated by the Foundation depend substantially upon voluntary donations and public support.

  1. The Foundation does not guarantee continuation of any programme.
  2. Activities may be expanded, reduced, suspended, or discontinued depending on available funding and operational requirements.
  3. Donations are voluntary and generally non-refundable unless otherwise required by applicable law.
  4. Donors do not acquire ownership, voting rights, financial returns, or control over Foundation assets by making donations.
  5. Donations shall be utilized in accordance with the charitable objectives of the Foundation and applicable legal requirements.

14. VOLUNTEER PROGRAMME

Volunteers are valuable representatives of the Foundation and are expected to maintain the highest standards of professionalism, integrity, and public service.

Volunteers shall:

  1. Follow all Foundation policies and instructions.
  2. Respect the dignity and privacy of beneficiaries.
  3. Wear Foundation identity cards where issued.
  4. Refrain from collecting unauthorized money or donations.
  5. Avoid making false promises or commitments on behalf of the Foundation.
  6. Maintain confidentiality of information obtained during volunteer activities.
  7. Return all Foundation property upon request or upon cessation of volunteer service.

The Foundation may suspend or terminate volunteer participation for misconduct, negligence, breach of policy, or any behaviour inconsistent with the Foundation’s values.


15. MEMBERSHIP PROGRAMME

Membership in the Foundation is intended to facilitate participation in charitable programmes and community initiatives.

  1. Membership is personal and non-transferable.
  2. Membership does not guarantee financial assistance, employment, or any specific benefit.
  3. Members must provide accurate information during registration.
  4. Membership may be suspended or cancelled for breach of these Terms, misconduct, fraud, or misuse of Foundation property.
  5. The Foundation may modify membership categories, eligibility requirements, benefits, or administrative procedures at its discretion.

16. ORGANISERS, CAMP PARTNERS & FIELD COORDINATORS

Individuals or organizations conducting programmes in association with the Foundation must obtain prior written approval where required.

They shall:

  1. Represent the Foundation honestly and responsibly.
  2. Follow all applicable Foundation policies.
  3. Avoid making unauthorized commitments or guarantees.
  4. Maintain accurate records of registrations and distributions.
  5. Cooperate with audits, inspections, and verification processes.
  6. Protect the Foundation’s name, reputation, logo, and goodwill.
  7. Immediately report any complaints, incidents, misuse, or suspected fraud.

The Foundation may suspend or terminate any partnership if these standards are not met.


17. REFUND & CANCELLATION

Unless otherwise required by law:

  1. Registration fees, administrative charges, or donations paid for charitable activities are generally non-refundable.
  2. The Foundation may cancel or postpone any programme due to operational reasons, safety concerns, legal requirements, insufficient participation, funding limitations, or force majeure events.
  3. Where a refund is approved at the Foundation’s discretion, it shall be processed in accordance with the applicable payment method and internal procedures.

18. MEDIA, PHOTOGRAPHY & PUBLICITY

During Foundation activities, photographs, videos, audio recordings, or other media may be captured for documentation, reporting, transparency, awareness, fundraising, training, archival purposes, and promotion of charitable activities.

By voluntarily participating in Foundation programmes, you consent to the reasonable use of such media by the Foundation without payment of royalties or additional compensation, unless prohibited by law or specifically withdrawn in writing before participation.

The Foundation will make reasonable efforts to use such materials respectfully and responsibly.


19. GENERAL DISCLAIMER

The Foundation strives to provide charitable services with honesty, transparency, and fairness.

However:

  • Participation in any programme does not create a legal entitlement to continued benefits.
  • Services are subject to verification, eligibility, availability of funds, and operational feasibility.
  • The Foundation may modify or discontinue any activity at any time.
  • Nothing contained in Foundation publications shall be interpreted as legal, financial, tax, medical, or professional advice.
  • Users should seek independent professional advice where appropriate.

20. FINAL DECLARATION

By registering for, participating in, volunteering with, donating to, or otherwise using any programme, activity, camp, membership, or service conducted by People Helping Hands Foundation, you acknowledge that you have read, understood, and voluntarily agreed to comply with these Terms & Conditions of Services & Activities.

These Terms are intended to protect the interests of beneficiaries, donors, volunteers, members, and the Foundation while ensuring transparency, accountability, and responsible management of all charitable programmes.

The Foundation reserves the right to interpret, amend, or update these Terms from time to time in accordance with applicable law and organizational requirements.
